As the first point of contact for internal and external parties within the company, the Office Manager oversees the daily operations of the office and assists the various departments. As a leader, the Office Manager communicates with department and division heads within the site and company, relays important information and policy changes from upper management, and implements incentives to enhance productivity.

 What will you do as an Office Manager?

  • Greet visitors and advise of safety procedures and protocols.

  • Counselling any employees struggling in their roles and getting them assistance to improve performance. (Assisting HR)

  • Answering telephone calls and emails from customers, clients and intercompany, and directing them to relevant staff.

  • Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required (IT support)

  • Training new office employees and organizing their employment paperwork

  • Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order.

  • Reporting office progress to senior management and working with them to improve office operations and procedures.

  • Event planner/coordinator for various activities throughout the year, including Holiday party for the company, Thanksgiving dinners and team building exercises.

  • Ordering meals for business luncheons.

  • AP assistance, PO processing for facility needs.

  • Order supplies for breakrooms.

  • Supply Chain Support

  • Assist sales team with inquiries/surveys from customers

  • Set up contracts with suppliers for facility needs. (i.e. Landscaper, custodial, bottled water, pest control and waste removal)

  • Enter hours for labor on projects for customers.

  • Request and coordinate maintenance for facilities.

  • Coordinate for meetings.

  • Complete all requested tasks for site and engineering management for smooth and efficient transitioning on projects.

Who are you as an Office Manager?

  • Minimum HS diploma, College degree preferred.

  • A minimum of 4 years in an office environment.

• Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks

• Organization and the ability to multitask to complete a wide variety of tasks

• Flexibility to help them adjust to new tasks should company or office needs change

• Strong interpersonal skills to interact positively with all employees

• Leadership ability to manage challenges and oversee employees

• Attention to detail to ensure tasks are completed thoroughly and correctly
